This notice explains how Hott Blocc LLC d/b/a Barber Knowledge handles information in connection with the CILLA ANN School software service.
1. Information processed
- School owner, administrator, instructor, staff, and account information;
- School identity, location, program, cohort, and operational information;
- student enrollment, attendance, scheduled and actual hours, progress, assessment, graduation, and related education records entered into the service;
- tuition, billing, subscription, and limited payment metadata;
- support requests, communications, audit events, security events, and system activity;
- device, browser, IP, session, cookie, and similar technical information used to operate and secure the service.
2. Purposes
Information is processed to provide and secure School operations, maintain accounts and permissions, calculate and display operational records, support billing, generate requested records and reports, provide customer support, prevent fraud and abuse, troubleshoot and improve service reliability, and satisfy applicable contractual, legal, accounting, security, and regulatory obligations.
3. School-controlled records
Schools determine which authorized records they enter into CILLA ANN and which staff members may access those records. Schools remain responsible for having the legal authority, notices, permissions, and consents required for information they direct the service to process.
4. Categories of information disclosed and recipients
Depending on the service function, categories of information disclosed may include account and contact information; School and student operational records needed to provide an authorized service; subscription and limited payment metadata; support and communications records; and technical, audit, fraud-prevention, and security information.
Categories of recipients may include hosting and storage providers; payment processors; email, support, communications, security, and monitoring providers; professional advisors; governmental or legal authorities when disclosure is lawfully required; business successors where legally appropriate; and reporting recipients when the customer directs or authorizes a submission.
5. Education-record obligations
FERPA and similar education-privacy requirements do not apply to every School in every circumstance. Where they do apply, the School is responsible for determining the lawful disclosure basis and its institutional obligations. CILLA ANN will use School-provided education records for the contracted service and related security, maintenance, support, and legally permitted purposes.
6. Security
Reasonable administrative, technical, and organizational safeguards are used to protect information. No internet or electronic-storage system can guarantee absolute security.
7. Retention
Information is retained for as long as reasonably necessary to provide the service, maintain required School and transaction history, meet contractual or legal obligations, resolve disputes, protect the service, and support legitimate recordkeeping needs.
8. Privacy rights, requests, and appeals
Depending on the role of the parties and applicable law, individuals may have rights concerning access, correction, deletion, portability, and certain opt-out rights. Requests may require identity verification. For School-controlled student or staff records, a request may need to be handled through the School that controls the record.
Where CILLA ANN or its provider acts as a controller and applicable privacy law grants a direct request right, a request may be submitted to Bk@barberknowledge.com. If a request is denied and applicable law provides an appeal right, the requester may appeal by sending a follow-up request to that address and clearly identifying it as a privacy appeal. We will respond within the period required by applicable law. If an appeal is denied and Texas law requires it, the response will provide the available mechanism for contacting the Texas Attorney General.
